1. Our role and customer workspaces
Trackr helps brands, agencies, and creators manage campaigns, content, connected social accounts, performance reporting, and creator payments.
We determine how personal information is used to operate our business, manage accounts and subscriptions, provide support, maintain security, and improve the service.
When a customer uses Trackr to manage information about creators, campaign participants, or other individuals, we may process that information on the customer’s behalf and according to its instructions. That customer is responsible for its own privacy notices, permissions, and use of the information.
If your information was added by a brand or agency, you may contact that organization about its practices. You can also contact us, and we will help identify the appropriate party and respond as required by applicable law.
2. Information we collect
Depending on your relationship with Trackr and the features used, we collect the following information.
Account and contact information. Names, email addresses, telephone numbers, account identifiers, authentication information, business details, workspace memberships, roles, and communication preferences.
Creator and campaign information. Social handles, profile details, campaign assignments, briefs, posting requirements, creator-provided demographic information, submissions, feedback, performance information, and compensation arrangements.
Content. Videos, images, captions, comments, documents, links, and other materials uploaded, submitted, connected, or collected for campaign workflows.
Connected-service information. Account and channel identifiers, profile information, authorization scopes, access and refresh tokens, connection status, and information returned by connected platforms. The information depends on the integration and permissions granted.
Payment and transaction information. Subscription details, invoices, payment status, creator earnings, payout records, and limited payment-method information. Payment providers such as Stripe process payment credentials and may collect additional information for identity verification, tax reporting, and payouts under their own policies.
Attribution information. Where enabled, customers may connect services that provide app-install, conversion, transaction, subscription, or revenue information for campaign reporting.
Support and communications. Messages, feedback, support requests, and records of communications with us.
Usage and technical information. Device and browser information, IP addresses, page visits, feature interactions, identifiers, error reports, and operational logs.
3. Sources of information
We receive information:
Directly from you.
From the customer, brand, agency, or workspace administrator that invites or manages you.
From connected platforms when an authorized user grants access.
From public social-media sources and service providers supporting campaign tracking.
Automatically when you use our websites and services.
From payment, communication, and other service providers.
Publicly available information can still be personal information. We use it for the purposes described in this policy.
4. How we use information
We use information to:
Create accounts, authenticate users, and manage workspace access.
Operate campaign, creator, content-review, and reporting workflows.
Retrieve and display connected-account information.
Schedule and publish content when the relevant features are enabled and authorized.
Calculate campaign performance and proposed creator compensation.
Process subscriptions, invoices, and creator payments.
Provide AI-assisted content and comment analysis.
Send invitations, service notices, reminders, and communications.
Respond to support requests and privacy requests.
Diagnose errors, prevent misuse, maintain security, and improve the service.
Meet legal obligations, maintain required records, and resolve disputes.
Where applicable law requires a legal basis, we rely on performing a contract, legitimate interests such as operating and securing our business, compliance with legal obligations, or consent where required. When acting on a customer’s behalf, we process information according to that customer’s instructions and the applicable agreement.
5. YouTube and Google integrations
Trackr uses YouTube API Services.
When you connect a YouTube channel, Google asks you to authorize access. Trackr’s YouTube integration requests permission to upload videos and read YouTube account information. We use this access to identify the connected channel and support authorized publishing.
We may store the channel’s identifier, name or handle, profile image, connection information, authorization tokens, and identifiers and links for videos published through Trackr. We do not receive your Google password through this authorization process.
When YouTube cross-posting is enabled, Trackr sends eligible video content and associated metadata to YouTube for publication. Published information becomes subject to your YouTube settings and YouTube’s policies.
Google’s handling of information is described in the Google Privacy Policy. Use of YouTube is also subject to the YouTube Terms of Service.
Disconnecting and revoking access. Trackr’s connection-management controls let you stop using a connected channel for supported workflows. Disconnecting within Trackr does not itself revoke your Google authorization or delete stored information. To revoke Trackr’s Google access, use your Google Account permissions.
Requesting deletion of stored YouTube information. Email support@ugctrackr.com to request deletion. Include your Trackr account email and, if available, the relevant YouTube channel name or URL so we can locate the information. Do not send passwords or authorization tokens. Our support team handles these requests; you do not need to use an in-app deletion control. We may ask for information reasonably needed to verify your identity or authority. We will delete applicable stored YouTube-related information as soon as possible and within seven calendar days of your request, as required by YouTube’s policies.
Revoking access through Google also requires deletion of the applicable API data obtained under that authorization, as soon as possible and within 30 calendar days of revocation. You do not need to send a separate deletion request for that obligation to apply.
Removing information from Trackr does not delete videos or other information already stored on YouTube. Manage or delete those materials through YouTube.
Our use and transfer of information received from Google APIs must follow the applicable Google API Services User Data Policy, including its Limited Use requirements where applicable. Google-authorized information is not used for targeted advertising or sold to data brokers.
6. Other integrations and embedded content
Trackr supports other social, payment, attribution, and customer-selected integrations. Connecting a service authorizes Trackr to perform the actions explained by that connection flow and the settings you enable.
Disconnecting an integration, removing an account from a campaign, cancelling a subscription, and requesting deletion are different actions. Disconnecting does not necessarily remove historical records or information already published or transferred to another service.
Pages may include embedded YouTube videos or other third-party content. Those providers may receive technical information when an embed loads or is used, and may use cookies or similar technologies under their own policies.
7. AI-assisted features
Trackr uses AI service providers, including Google’s Gemini API, to analyze content and generate supporting outputs.
Depending on the feature, processing may include video or image content, captions, comments, campaign context, and related instructions. Outputs can include creative feedback, content classifications, summaries, and comment analysis.
Our production Gemini integration uses a billing-enabled service. Under Google’s applicable paid-service terms, submitted prompts and responses are not used to improve Google’s products. Google may retain limited information for safety, security, and legal purposes under those terms.
AI outputs can be inaccurate. Users should review them before making publishing, campaign, or payment decisions.
8. How information is shared
We disclose information where needed to operate the service:
Within workspaces and campaign relationships. Authorized team members, administrators, creators, and linked client workspaces may see information according to their roles and the features and permissions configured.
Through customer-enabled sharing. Public reports, shared links, downloads, exports, integrations, and publishing features can make selected information available outside a workspace. Some media is delivered through URLs accessible to people who possess the link. Users should consider the sensitivity of content before sharing it.
With service providers. We use providers for hosting, databases, file storage, payments, analytics, communications, AI processing, social-data collection, and operational monitoring. Providers used by the service include Supabase, Vercel, Cloudflare, Stripe, PostHog, Google, Loops, Apify, Scrape Creators, and Sendblue, depending on the feature.
With services you authorize. Information may be sent to connected social platforms or applications, including applications authorized to access Trackr through its API or other integration mechanisms.
For legal and security purposes. We may disclose information when reasonably necessary to comply with law, respond to valid legal process, protect rights and safety, or investigate misuse.
For business transactions. Information may be transferred in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to applicable law and any additional restrictions governing connected-platform data.
We do not sell personal information or share it for cross-context behavioral advertising.
9. Cookies, analytics, and similar technologies
We use cookies, local storage, and similar technologies for authentication, preferences, analytics, referral attribution, and service operation.
Trackr uses PostHog for product analytics and troubleshooting. App activity may be associated with an authenticated user’s identifier and email address. Diagnostic information can include errors and related technical context.
You can manage cookies through your browser. Blocking certain technologies may affect login or other functionality. Third-party embeds and linked services have their own settings and policies.
Where applicable law requires consent for particular technologies, those technologies must be used subject to that consent.
10. Retention and deletion
Cancelling a subscription does not automatically delete your account or workspace content.
We currently do not apply a fixed automatic deletion period to ordinary cancelled-workspace data. We retain that information to support continuity and potential reactivation, subject to deletion requests, applicable law, and third-party platform requirements. This does not guarantee permanent storage or the availability of every historical record.
Other retention needs differ by information type. Transaction and accounting records may need to be retained for legal obligations. Security and dispute records may be retained where necessary for those purposes. Connected-platform data may be subject to shorter requirements, including the YouTube requirements described above.
To request account or data deletion, email support@ugctrackr.com with your account email and a description of what you want deleted. Our support team handles deletion requests. We may need to verify your identity and determine whether information is controlled by a customer workspace. We will respond and act within applicable legal and platform deadlines, including the YouTube-specific deadlines described above.
Deletion may not remove information another user independently retains, information already published to another platform, or records we are legally required to preserve. Backup copies may remain until removed through the applicable backup lifecycle, subject to any stricter requirements.
11. Your choices and privacy rights
Depending on your location and applicable law, you may have rights to access, correct, delete, or obtain a copy of your personal information; object to or restrict certain processing; withdraw consent; or appeal a decision concerning a privacy request.
You may also have the right to complain to your local data-protection authority. We will not unlawfully discriminate against you for exercising privacy rights.
Submit requests to support@ugctrackr.com. Authorized agents may submit requests where permitted by law, subject to verification.
You can unsubscribe from marketing emails through their unsubscribe controls. Essential account, security, transaction, and service communications may continue. Where text messaging is offered, follow its opt-out instructions, including replying STOP where supported.
12. International processing
PLAYKIT LLC operates in the United States. Our providers may process information in the United States and other countries whose privacy laws differ from those in your location.
Where applicable law requires safeguards for an international transfer, the transfer must be supported by an appropriate legal mechanism. Contact us for information about the arrangements applicable to your information.
13. Security
We use technical and organizational measures designed to protect personal information. No system or transmission method is completely secure.
You are responsible for protecting your account credentials, managing workspace access appropriately, and notifying us of suspected unauthorized use.
14. Age requirements
Trackr is intended for business users and creators who are at least 18 years old. It is not intended for children.
If you believe a person under 18 has provided personal information to us in connection with an account, contact support@ugctrackr.com so we can investigate and take appropriate action.
15. Changes to this policy
We may update this policy as our services, practices, or legal obligations change. We will update the effective date and provide additional notice or obtain consent where required.
